When Your Nonprofit Is Growing Faster Than Its Systems
Share
Growth can be exciting and exhausting at the same time. More participants, volunteers, donations, and partnerships create opportunities, but they also reveal which processes were living entirely in someone's head.
Write down recurring work
Start with the activities that repeat every week: receiving supplies, responding to inquiries, authorizing spending, scheduling volunteers, processing gifts, and documenting decisions.
Clarify who decides
Staff authority, board oversight, and volunteer leadership should be clear enough that routine questions do not require three separate approvals.
Build the simplest reliable system
A clear one-page procedure used consistently is better than an impressive manual nobody opens. Improve it as the program learns.
Protect people and information
Think through confidentiality, safe operations, access controls, and how the organization can function when one key person is unavailable.
Train the next leader
Documenting the work is not about control. It's what makes growth sustainable and makes it possible to share responsibility.
Put it into practice
Choose one process that currently depends on one person and document it this week.
